Information we collect
When you enquire, we collect the name, email address, company, project details, location and timescale you provide. If you email or telephone us, we also receive the information you choose to share. Website and email providers may process technical information such as IP addresses, request times, device details and delivery records to operate and protect their services. Please do not send sensitive personal information through the enquiry form.
Why we use it and our lawful bases
We use enquiry information to understand your requirements, reply, prepare proposals and manage the relationship. Where you ask us to take steps towards a contract with you, this is necessary for those pre-contract steps. For business contacts and general enquiries, we rely on our legitimate interests in communicating with prospective clients and running our business, balanced against your rights. We use necessary technical information for our legitimate interests in maintaining a secure and reliable website. We may retain information where needed to meet a legal obligation or establish, exercise or defend legal claims.
Your choice
The enquiry form needs the marked fields so that we can understand and respond to your request. You do not have to use it; you can contact us directly instead. We do not use this form to sign you up for marketing. We do not sell enquiry information, make automated decisions with legal or similarly significant effects, or profile you through this enquiry process.
Who receives information
Authorised people working for AMM receive enquiries. We use Replit for website hosting and the website enquiry database, SMTP2GO to send enquiry notifications, and our business email provider to receive and manage messages. These providers process information as needed to deliver their services. We may also share relevant information with professional advisers or authorities where necessary and lawful.
International processing
Our hosting and email providers may process information outside the UK. Provider locations and contractual arrangements can vary by service and account. UK data protection law requires an appropriate transfer mechanism for restricted transfers, such as adequacy regulations or approved contractual safeguards. How long we keep it
We retain unsuccessful enquiries for up to 12 months after the last meaningful contact, then delete or anonymise them unless a legal obligation or the establishment, exercise or defence of legal claims requires longer retention. Where an enquiry leads to a project, the relevant client, contractual and accounting records follow a separate retention schedule appropriate to that relationship and our legal obligations. This policy applies to our enquiry database, correspondence and working copies; backup copies are removed through the relevant backup lifecycle.
Your rights
Depending on the circumstances, you can ask to access or correct your information, erase it, restrict processing, object to processing based on legitimate interests, or receive portable data where that right applies. If processing relies on consent, you may withdraw it without affecting earlier lawful processing. Some rights have legal limits. You may complain to the Information Commissioner's Office at ico.org.uk or by telephone on 0303 123 1113.
Security and changes
We use access restrictions and encrypted connections to help protect information, but no internet service can be guaranteed completely secure. We review this notice when our practices change. It covers this website and its enquiry process, not every aspect of our client or employment relationships.
